Today’s blog post is going to talk about something that everyone takes for granted. It has become such an appendage to our lives that we do not give it much thought. The topic on this #MammothMonday is email. More specifically your email.
You get so caught up in your everyday life and everyday chores that you tend to scan your email and move on without giving much thought as to the consequence of not answering. This is a horrible habit to get into. You must learn to discipline yourself to answer your emails. A response as simple as, “Got it”, will cement your presence in your business. When clients and contacts know you are responsive, they feel respected and they feel as if they mattered enough to garner a response. Responding helps to create a positive reaction that will cause people to keep you in the loop and therefore help you to have more control over your business and better yet, you will have clients and contacts feel as if they can count on you and therefore bring you more business.
Also, make sure that you are always clearing your inbox. It is a known fact that if you allow your inbox to fill up with hundreds if not thousands of unanswered emails, that will subconsciously cause you to have unnecessary stress and it will also put you in a terrible habit of ignoring your emails. Make it simple and just delete all unwanted emails quickly. Then scan all emails and find the ones that you can send a quick response of a few words to or even a couple of sentences. Then finally you will be left with a handful of emails that you can tackle one at a time but in more depth.
Finally, there is a specific order to keep in mind and that is to always answer your newest emails first even though you may have seen an email from the same person that arrived earlier. The reason behind this is that the person sending you another email may just be sending you a reminder to respond. Or, they may be sending an additional attachment to the first email and you will be able to see the email feed in this new email which will allow you, once answered, to go back and quickly do yet another cleaning by deleting all prior emails from that person which will once again clear out even more emails.
Have I typed the word email enough yet? Your email is a powerful business tool and should be handled as the commodity that it is. It might feel daunting at first but once you get in the habit and get control of your email account, the task should become second nature to you. So even though this may be a huge task for you, it is very necessary for your continued success.
